1.1 Background of the Study

Education system forms the backbone of every nation. And hence it is important to provide a strong educational foundation to the young generation to ensure the development of open-minded global citizens securing the future for everyone. Advanced technology available today can play a crucial role in streamlining education-related processes to promote solidarity among students, teachers, parents and the school staff.

Education is central to development. It is one of the most powerful instruments for reducing poverty and inequality and lays a foundation for sustained economic growth. With this aim currently our government has given special emphasis to the educational sector and school improvement activities such as continuous professional development for teachers, training and upgrading teachers and capacitating schools with manpower and materials are among the major actions which have been taken in both primary and secondary schools. In order to facilitate and simplify these actions one of the major tool is to have automated school management system.

School Management System(SMS) consists of tasks such as registering students, attendance record keeping to control absentees, producing report cards, producing official transcript, preparing timetable and producing different reports for teachers, parents, officials from kwara state polytechnic and other stakeholders.

Automation is the utilization of technology to replace human with a machine that can perform more quickly and more continuously. By automating SMS documents that took up many large storage rooms can be stored on few disks. Transcript images can be annotated. It reduces the time to retrieve old transcripts from hours to seconds. However, not all school system own by the government in Nigeria is automated and the record officers generate transcripts and reports manually and the school administrators use their experienced knowledge of miss and hit approaches to prepare timetables.

1.2 Statement of the Study

The greatest challenge of today’s information system design is to provide users with the required functionality needed for the organization which, in many cases, happens not to be possible or requires huge resources including money, time and highly skilled personnel. Information systems of many Nigerian higher institution suffer from some of the following challenges:

  1. Ineffective management of the large amounts and different types of data
  2. Inability to cater  for different user categories with various access privileges and restrictions
  3. Lack of related components that need to be integrated together such as registration and academics.
  4. Lack of robust, portable and extensible components that support efficient data management.

1.3 Aim and objective of the Study

The main aim and objective of this study is to design and implementation of web based school management system for kwara state polytechnic. In order to attain the general objective, the following list of specific objectives is set:

•To develop an offline registration system,

•To facilitate attendance record keeping,

•To facilitate various report generation,

•To allow teachers, parents, school community and Education bureau officials to view reports on students,

•To produce a timetable

1.4 Significance of the Study

This work critically explores the possible ways of making clear of the mystery behind database and related technologies, web hosting services, protocols and of course design and encourages young programmers to join the race without feeling interims to their counterparts in the developed parts of the world. Without shifting this focus to website design, in general, this project aims to enhance efficiency and at the same time maintain information accurateness The study will go a long way to cutting down on time wastage, inefficient use of statistical data, manual errors, and duplication of efforts by both staff and academic personnel. It will also enhance efficient query, ensure the security of records and assist the college in coping with the daily work based. The internet with all its functionality has indeed changed the way people live and interact politically, socially, economically and otherwise the internet as with database combines audio, video and texture contents while eliminating time and space of traditional media.

The study provides solutions to practical problems using knowledge gained from the particular class of software engineering, system analysis, system management databases and web design in my undergraduate studies in information technology. The implementation of the management system will help to manage institutional resources in an efficient, effective and accountable manner. This project will also demonstrate that the implementation of the management system will improve the quality of services, creating an automated application to plan and manage the delivery of courses. The management system will provide more ease of managing data rather than manually maintaining documents. Valuable time will be saved and lives will be made easier.

1.5 Scope of the Study

This is a generic type of software, suitable for all colleges. School management System will work on a college area network. Under this system, it will include all the departments under the particular college. It can have billing system for the finance department, class attendance, online notes and notice board so that students can get all the information by using their valid registration id and password. The administrator will able to get all the information regarding any college members on any particular day and time. The Admin panel will also able to edit the login display panel of teachers, staff members, students etc. Admin can add a person, delete and give special permission. Lecturers can get information of any students under their particular class. Lecturers can also make a query by using grade, percentage, can see list of students who come under the category of attendance shortage and many more under this one roof. For student section, they can get any particular Lecturer’s notes for any particular day and other information regarding the college. Such as an upcoming college lecture in a particular month, group work schedules, assignments, test and exam notifications and many more. Student section will also include learning section so that students can prepare for their exams.

The main modules are

  • Login to the system through the first page of the application
  • Access/ Search information
  • View/change his/her details.
  • Can get help through the help option to view different features of the system.
  • Students can give feedback on college/staff/any other student.
  • An admin login should be present who can read as well as remove any uploads

1.6 Limitations of the Study

Usually, every work has some limitations and this study is not exempted.

The two major limitations of this study are the high programming technique as well as financial constraints. The high programming technique constraint in PHP, JQUERY and MYSQL prevents the researcher to have an in depth study and analysis on the subject matter. While the issue of financial constraint limits the frequency of investigation to/from the institution toward gathering the necessary information relevant for the study.

1.7 Definition of Terms                  

HTML CODE: – HTML stands for Hyper Text Markup Language. It is a type of computer language that is primarily used for files that are posted on the internet and viewed by web browsers. HTML files can also be sent via email.

Markup language: – A markup language is a combination of words and symbols which give instructions on how a document should appear. For example, a tag may indicate that words are written in italics or bold type.

Web browser: -A Web browser is a software program that interprets the coding language of the World Wide Web in graphic form, displaying the translation rather than the coding. This allows anyone to “browse the Web” by simple point and click navigation, bypassing the need to know commands used in software languages.

File extension: – A file extension is the suffix at the end of a filename that tells a computer, and the computer user, which program is needed to open the file. Also called a filename extension, this suffix preceded by at least one period, is generally one to five characters long but the norm is usually three characters in length.

Email: – Email, also sometimes written as e-mail, is simply the shortened form of electronic mail, a protocol for receiving, sending, and storing electronic messages. Email has gained popularity with the spread of the Internet. In many cases, email has become the preferred method of communication.

TCP/IP: – This often used but little understood set of operations stands for Transmission Control Protocol/Internet Protocol. TCP/IP is the combination of the two and describes the set of protocols that allows hosts to connect to the Internet. In actuality, TCP/IP is a combination of “more than those two protocols, but the TCP and IP parts of TCP/IP are the main ones and the only ones to become part of the acronym that describes the operations involved.

TEXT FILE: – A text file is a computer file that stores a typed document as a series of alphanumeric characters, usually without visual formatting information. The content may be a personal note or list, a journal or newspaper article, a book, or any other text that can be rendered accurately in typewritten form.

Hyper Link:-A hyperlink is a graphic or a piece of text in an Internet document that can connect readers to another webpage, or another portion of a document. Web users will usually find at least one hyperlink on every webpage. The simplest form of these is called embedded text or an embedded link.
